Orders.Clinic is a professional marketplace and administrative ordering platform designed to connect approved healthcare professionals with participating product and fulfillment partners.

What is Orders.Clinic?

Orders.Clinic is a professional product marketplace and administrative ordering platform operated by Clinic Protocols LLC. It allows approved healthcare professionals and authorized practice personnel to access participating vendors, review eligible products, place patient-specific orders, manage related information, and track available fulfillment updates through a centralized workflow.

Is Orders.Clinic a medical clinic or healthcare provider?

No. Orders.Clinic is not itself a medical practice and does not independently diagnose patients, determine treatment, prescribe medication, dispense medication, perform laboratory testing, or manufacture products.

Healthcare professionals, medical practices, pharmacies, laboratories, manufacturers, distributors, and other participating organizations remain independently responsible for their own services, clinical decisions, products, regulatory obligations, and fulfillment activities.

Who is Orders.Clinic designed for?

Orders.Clinic is designed primarily for approved healthcare professionals, medical practices, clinics, and authorized practice personnel who place eligible orders on behalf of patients.

Account eligibility, ordering permissions, and available products depend on professional role, credentials, jurisdiction, practice information, vendor requirements, and applicable law.

Is Orders.Clinic a direct-to-consumer online store?

No. Orders.Clinic is not a general direct-to-consumer retail marketplace. Patients generally do not browse the professional marketplace, select restricted products, or independently submit professional orders.

Orders are initiated by an approved healthcare professional or authorized practice user. Patients may receive order confirmations, payment requests, shipping notifications, or other communications associated with an order placed for them.

What kinds of products or services may be available?

Available categories may include professional supplements, prescription products, compounded medications, laboratory services, diagnostic kits, injectable products, medical devices, clinical supplies, and other products made available by participating vendors.

Not every category is available to every account. Product availability may change based on credentials, state law, vendor participation, inventory, ordering authority, and product-specific requirements.

Does Orders.Clinic own the products listed in the marketplace?

Products and services may be offered, manufactured, supplied, dispensed, processed, or fulfilled by independent participating vendors. The identity of the applicable seller or fulfillment partner may appear on the product page, order information, invoice, shipping documentation, or other transaction materials.

Why does Orders.Clinic verify professional credentials?

Verification helps establish the applicant's identity, professional role, practice affiliation, and ordering permissions. It also helps determine which products and vendors may lawfully and appropriately be made available to the account.

What information may be required during account approval?

Depending on the applicant and requested access, Orders.Clinic may request:

  • Full legal name and contact information.
  • Professional role and practice affiliation.
  • Professional license number and expiration date.
  • NPI information, when applicable.
  • DEA registration, when applicable.
  • Prescribing, ordering, or purchasing authority.
  • Business registration or practice documentation.

How long does account approval take?

Review time depends on whether the application is complete and whether additional verification is required. Applications with missing, inconsistent, expired, or difficult-to-verify information may take longer.

Orders.Clinic will contact the applicant if additional information or documentation is needed.

Does account approval provide access to every product?

No. Account approval establishes general eligibility to use the platform. Access to a specific product may depend on:

  • Professional role and license type.
  • Prescribing or ordering authority.

Can Orders.Clinic deny or limit an account?

Will my credentials need to be verified again?

Orders.Clinic may require periodic reverification, particularly when a license, registration, credential, business record, or other authorization expires or changes.

Account permissions may be limited or temporarily suspended while updated documentation is pending.

Can multiple people from one practice have accounts?

Multiple users may be permitted when supported by the platform and appropriate for the practice. Each user should have individual login credentials and permissions appropriate to the user's role.

Users should not share passwords or allow another person to use their individual account.

Can administrative staff place orders?

Administrative or clinical staff access depends on the permissions granted by the practice, the applicable product workflow, vendor rules, and legal requirements.

An administrative user may be permitted to prepare or submit certain information, but the responsible licensed professional remains accountable for any professional order, prescription, certification, or clinical determination requiring professional authority.

What should I do if my license, address, or practice information changes?

Update your account information promptly or contact support. Changes to your professional status, practice affiliation, shipping location, license, NPI, DEA registration, or ordering authority may affect account permissions and order eligibility.

Why do different professionals see different products?

Product access may be configured based on professional credentials, license type, practice type, state, prescribing or ordering authority, vendor requirements, product category, and other eligibility criteria.

Can I request access to an additional product category?

You may contact Orders.Clinic to request additional access. Additional verification, documentation, agreements, or vendor approval may be required before the category can be enabled.

Does a product listing mean the product is appropriate for every patient?

No. Marketplace availability does not establish medical necessity, appropriateness, safety, effectiveness, or suitability for a particular patient.

The responsible healthcare professional must independently determine whether a product or service is appropriate for the patient and must comply with all applicable professional, legal, documentation, consent, monitoring, and follow-up requirements.

Does Orders.Clinic recommend one product over another?

Product organization, search results, featured listings, educational information, or marketplace placement should not be treated as individualized medical advice or an instruction to select a particular product.

The ordering professional is responsible for evaluating available information and making an independent decision.

Are product descriptions written by Orders.Clinic?

Product information may be supplied by manufacturers, pharmacies, laboratories, distributors, or other participating vendors. Orders.Clinic may organize or display that information but does not guarantee that every vendor-supplied statement is complete or applicable to every circumstance.

Professionals should review applicable labeling, prescribing information, vendor documentation, professional guidance, and patient-specific considerations before ordering.

Can product availability or pricing change?

Yes. Availability, pricing, minimum quantities, shipping options, lead times, formulations, strengths, packaging, and vendor participation may change without advance notice.

The applicable order summary displays the current transaction information available at the time the order is submitted.

What is a compounded medication?

A compounded medication is prepared by a licensed pharmacy for an identified patient based on a valid prescription or order and applicable compounding requirements.

Compounded medications are not the same as commercially manufactured, FDA-approved drugs. Product-specific disclosures, patient consent, monitoring, storage requirements, and other conditions may apply.

Can I order products for office use or inventory?

Office-use, stock, wholesale, or practice-delivery ordering depends on the product, seller, jurisdiction, professional credentials, and applicable legal requirements.

A product available for patient-specific ordering may not be available for office inventory, and vice versa.

Patient-specific orders

Orders must include the information required by the selected product and participating vendor.

How do I place an order for a patient?

Select an existing patient or create a patient record, choose an eligible product, provide the required order details, select the permitted delivery destination, review the transaction information, and submit the order.

Some products may require prescriptions, professional certifications, clinical information, patient consent, testing, or additional documentation.

What patient information may be required?

Required information depends on the product and vendor. It may include:

  • Patient full legal name.
  • Date of birth.
  • Contact information.
  • Shipping address.
  • Sex or other clinically relevant information.
  • Allergies or medication information.
  • Prescription or order details.
  • Required clinical documentation.
  • Consent or acknowledgment information.
What authority must I have before entering patient information?

The professional or practice must have an appropriate legal and professional basis to collect, use, and disclose the patient's information for the order.

This may arise through the professional relationship, patient authorization, treatment activities, payment activities, healthcare operations, or another basis permitted by applicable law.

Can I place an order without evaluating the patient?

Orders.Clinic does not determine whether a sufficient professional relationship or evaluation exists. The ordering professional is responsible for satisfying all professional, clinical, licensure, prescribing, documentation, informed-consent, and standard-of-care requirements applicable to the order.

Does submitting an order guarantee acceptance?

No. A submitted order may require validation or review and may be placed on hold, returned for clarification, modified when authorized, partially fulfilled, or declined.

Possible reasons include incomplete information, credential issues, product restrictions, prescription defects, unavailable inventory, shipping limitations, vendor requirements, safety concerns, or legal restrictions.

Can I edit an order after submission?

Editing or canceling an order depends on its status and the applicable vendor's process. Contact support immediately if a correction is required.

An order may no longer be editable once it has entered review, preparation, compounding, dispensing, testing, fulfillment, or shipment.

Can I cancel an order?

Cancellation may be possible before processing begins, but it is not guaranteed. Customized, compounded, prescription, temperature-sensitive, patient-specific, laboratory, or otherwise restricted products may become noncancelable once processing begins.

Can I reorder a product for the same patient?

Eligible prior orders may support a simplified reorder workflow. A reorder remains subject to current product availability, professional authority, prescription validity, patient information, vendor requirements, payment, monitoring, and applicable law.

Who is responsible for the professional or clinical decision behind an order?

The licensed healthcare professional placing or authorizing the order is responsible for the professional decision, patient evaluation, informed consent, documentation, monitoring, and follow-up required for the product or service.

Orders.Clinic provides marketplace and administrative infrastructure and does not replace independent professional judgment.

Professional responsibility

Access to a product does not authorize a professional to order it outside the professional's lawful scope of practice, license, prescribing authority, or applicable standard of care.

Vendors and fulfillment

What happens after an order is submitted.

Participating sellers and fulfillment partners remain responsible for their own review, preparation, and delivery obligations.

Who reviews and fulfills the order?

The applicable pharmacy, laboratory, manufacturer, distributor, supplier, or other participating vendor reviews and fulfills the products or services it provides.

The vendor may apply its own professional, regulatory, operational, inventory, shipping, documentation, and payment requirements.

Can a vendor ask for additional information?

Yes. A vendor may request clarification, supporting documentation, credential confirmation, prescription correction, patient information, consent documentation, payment information, or another item required to process the order.

Can a vendor decline an order?

Yes. A vendor may decline an order that does not satisfy its requirements, cannot lawfully be fulfilled, involves unavailable inventory, contains incomplete or inconsistent information, presents a safety or compliance concern, or cannot be shipped to the requested destination.

Are participating vendors independent from Orders.Clinic?

Participating vendors may be independently owned and operated. They are responsible for their own licenses, personnel, facilities, professional services, products, quality controls, records, pricing, taxes, policies, and regulatory compliance.

Who should I contact about a product-specific question?

Orders.Clinic support can assist with account and order-routing questions. Questions concerning formulation, preparation, dispensing, laboratory processing, product quality, storage, vendor policies, or fulfillment may need to be addressed by the applicable vendor.

Patient-specific medical questions should be handled by the responsible healthcare professional.

Can a patient contact the vendor directly?

This depends on the vendor and the issue involved. Patients may receive vendor contact information on a shipping confirmation, product label, invoice, laboratory document, medication materials, or other fulfillment communication.

Clinical questions should still be directed to the patient's healthcare professional.

Payments and billing

Payment responsibility may vary by order, practice, product, and vendor.

Who pays for an order?

Depending on the available workflow, an order may be paid by the professional, practice, patient, or another authorized payer.

The applicable checkout or payment request will identify the amount due and the party being asked to pay.

Can a patient pay directly?

A patient-payment option may be available for certain orders. When available, the patient may receive a secure payment request or checkout link associated with the order created by the professional.

Can a practice pay for the order?

Practice payment may be supported for eligible orders. The practice is responsible for ensuring that its payment, billing, resale, reimbursement, and patient-charging practices comply with applicable agreements and law.

Does Orders.Clinic accept insurance?

Unless expressly stated for a specific service, Orders.Clinic should not be assumed to submit insurance claims, verify benefits, obtain prior authorization, or guarantee reimbursement.

A patient may request documentation for personal reimbursement, but eligibility and reimbursement are determined by the applicable health plan.

Why did the final amount change?

The final amount may reflect product options, quantity, shipping, taxes, vendor fees, laboratory charges, fulfillment requirements, discounts, or another transaction-specific item.

When is payment captured?

Payment timing may vary. A payment method may be charged at checkout, after professional submission, after vendor acceptance, or at another point disclosed in the transaction workflow.

What happens if payment fails?

Professional pricing, vendor terms, discounts, and account-specific purchasing information may be intended only for approved users. Users should not publish or distribute confidential marketplace pricing except as permitted by the applicable agreement or vendor.

Can an order be shipped directly to a patient?

Direct-to-patient delivery may be available for certain products. Eligibility depends on the product, vendor, destination, jurisdiction, professional credentials, order type, and applicable law.

Can an order be shipped to the practice?

Practice delivery may be available when permitted for the applicable product and vendor. Some products may require delivery to the patient, while others may require delivery to a licensed or approved professional location.

How long does fulfillment take?

Fulfillment time depends on product availability, vendor review, payment, documentation, compounding or preparation time, laboratory processing, shipping method, destination, weather, and carrier performance.

Estimated timelines are not guarantees unless specifically stated.

How do I track an order?

Tracking information may be displayed in the professional dashboard or sent by email or text when the applicable fulfillment partner provides it.

Some services, local deliveries, laboratory orders, or non-shipped transactions may not generate traditional carrier tracking.

Why was an order split into multiple shipments?

Products may be supplied by different vendors, prepared at different times, or subject to different shipping conditions. Each shipment may have a separate tracking number and delivery date.

What happens if the shipping address is incorrect?

Contact support immediately. Address changes are not guaranteed after submission. If a package has already entered processing or shipment, the vendor or carrier may be unable to redirect it.

Additional shipping or replacement charges may apply when an incorrect address was provided.

What should I do if tracking shows delivered but the package is missing?

Check the delivery location, household members, practice staff, mailroom, front desk, neighboring locations, and any carrier delivery photograph or notice.

If the package cannot be found, contact support promptly with the order number and delivery information so the shipment can be reviewed with the vendor or carrier.

How are temperature-sensitive products shipped?

A vendor may use insulated packaging, cold packs, expedited delivery, temperature indicators, or other controls appropriate to the product.

Recipients should retrieve deliveries promptly and follow the storage instructions supplied with the product. Packaging temperature alone does not necessarily establish that the product is unusable.

What should I do if a temperature-sensitive package arrives warm or damaged?

Do not discard the product or packaging. Photograph the shipping box, label, insulation, temperature-control materials, and product. Store the product as directed unless doing so would be unsafe, and contact support promptly.

Do not use the product until the responsible professional, dispensing pharmacy, manufacturer, or applicable vendor provides appropriate guidance.

Returns and refunds

Return eligibility depends heavily on the product type, condition, vendor, and processing status.

Can prescription or compounded products be returned?

Prescription, compounded, patient-specific, personalized, temperature-sensitive, or specially prepared products generally cannot be returned for resale after they have been dispensed, prepared, shipped, or delivered.

Contact support if the order is damaged, incorrect, incomplete, or otherwise presents a fulfillment issue.

Can unopened retail products be returned?

Eligible unopened retail products may be returnable when permitted by the applicable seller's policy. Prior authorization may be required, and return shipping or restocking conditions may apply.

What should I do if the wrong item arrives?

Do not use or open the item unless instructed. Photograph the shipping label, packing materials, product label, and contents, and contact support promptly with the order number.

What should I do if an item is damaged?

Preserve the product, packaging, shipping box, and delivery materials. Photograph the damage and contact support promptly. Do not use a damaged product unless the responsible vendor or healthcare professional confirms that it is appropriate to do so.

Can I receive a refund if a vendor declines the order?

If payment was collected for a product or service that the vendor does not accept or provide, the applicable amount may be voided, released, credited, or refunded according to the transaction status and applicable policy.

Separate professional, consultation, administrative, processing, or laboratory fees may be treated differently when the associated service has already been performed.

How long do refunds take?

After a refund is approved and processed, the time required for the funds to appear depends on the payment method, financial institution, processor, and transaction type.

Should I dispute the charge with my bank?

Contact Orders.Clinic support first so the transaction can be investigated. A chargeback may delay resolution and may affect account or order processing while the dispute is reviewed.

Nothing prevents a cardholder from exercising lawful rights through the card issuer.

Healthcare professionals and practices remain responsible for their own HIPAA compliance, privacy practices, patient notices, authorizations, workforce access, recordkeeping, and use of patient information.

What information does Orders.Clinic collect?

Information may include professional account details, credentials, practice information, patient information required for orders, payment information, shipping details, transaction records, uploaded documentation, communications, and technical information concerning use of the platform.

Review the Orders.Clinic Privacy Policy and any applicable Notice of Privacy Practices for additional information.

Who may receive patient information submitted with an order?

Patient information may be provided to persons or organizations involved in processing the order, including the applicable professional practice, vendor, pharmacy, laboratory, supplier, shipping provider, payment processor, technology provider, or other authorized service provider.

Information should be limited to what is reasonably necessary for the permitted purpose.

Does a patient need to authorize every order-related disclosure?

Not every use or disclosure requires a separate HIPAA authorization. Certain activities may be permitted for treatment, payment, healthcare operations, fulfillment, or another legally recognized purpose.

A separate authorization or consent may be required when the intended use or disclosure falls outside those permitted purposes or involves specially protected information.

Can patients request access to their information?

Change the account password, secure the associated email account, end active sessions when possible, and contact Orders.Clinic support immediately.

Why did I receive a message from Orders.Clinic?

You may receive a message because a healthcare professional or practice created an order, payment request, shipping request, or other transaction for you through Orders.Clinic.

The communication may ask you to confirm information, submit payment, review an order, provide a shipping address, or monitor fulfillment.

Did Orders.Clinic prescribe or recommend my product?

No. Orders.Clinic is not the healthcare professional responsible for your care. The healthcare professional or medical practice that placed or authorized your order is responsible for the clinical recommendation, prescription, informed-consent process, monitoring, and follow-up.

Who should I contact with medical questions?

Contact the healthcare professional or medical practice responsible for your order. Orders.Clinic administrative support cannot diagnose symptoms, recommend treatment, modify a prescription, interpret laboratory results, or provide medical advice.

Can I change my medication, dose, or treatment through Orders.Clinic support?

No. Contact your healthcare professional before changing, stopping, combining, increasing, decreasing, or otherwise modifying a medication or treatment.

Can I place an order myself?

Patients generally do not independently place professional marketplace orders. Your healthcare professional or practice initiates the order and determines whether the product or service is appropriate.

Why am I being asked to pay?

Your healthcare professional or practice may have created a patient-pay order. Review the product, amount, shipping information, and responsible practice before completing payment.

Contact the practice if you do not recognize the order or believe the information is incorrect.

Can I change my shipping address?

Contact Orders.Clinic support and the ordering practice as soon as possible. An address change is not guaranteed once the vendor has begun processing or shipping the order.

How will I know when my order ships?

When tracking information is available, you may receive an email, text message, or other notification. The ordering professional may also be able to review the status through the professional dashboard.

What should I do when my package arrives?
  • Confirm that your name and the product information are correct.
  • Inspect the package for damage or signs of tampering.
  • Follow all storage instructions immediately.
  • Review the product label and included materials.
  • Contact the ordering professional with medical or usage questions.
  • Contact support promptly if the package is damaged, incorrect, or incomplete.
What should I do if I experience side effects?

What should I do if I do not recognize an order?

Do not complete payment or use the product until the situation is clarified. Contact the healthcare professional or practice identified in the communication and notify Orders.Clinic support.

Can I use Orders.Clinic for an emergency?

No. Orders.Clinic is not an emergency service. Do not use email, account messages, order notes, or support channels for urgent or life-threatening medical needs.

Why am I not receiving Orders.Clinic emails?

Check spam, junk, quarantine, and organization-level email filtering. Add support@orders.clinic to your approved contacts and confirm that the account email address is correct.

How do I report a technical problem?

Describe what you were attempting to do, what happened, the page involved, the device and browser used, and the approximate time of the issue. Include a screenshot when appropriate, but avoid exposing unnecessary patient information.
